Job spec – Admin
We are looking for a multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and email, and generally being a helpful and positive presence in the workplace.
Objective of this role:
- Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests
- Ensure optimal use of office equipment, supplies, and inventories through preventative maintenance
- Oversee and achieve organizational goals while upholding best practices
Your duties will include, but not limited to:
- Assisting with day-to-day admin related tasks:
- Filing paperwork, and maintaining all filing systems
- Answering incoming phone calls
- Assist team members with needed administrative tasks
- Online administration to book and manage stock and orders:
- Takealot portal
- Cilo Cybin online shop
- Handle all incoming communication via the website and online shop
- Order and oversee office supplies
- Assist in the GACP department:
- Sourcing and ordering of all cultivation products, equipment, and supplies
- Maintaining supplier list for GACP
- Maintain service and critical parts register
- Contact service/equipment providers for faulty equipment
- Assistance in GMP:
- Sourcing and ordering of all GMP equipment, products, consumables, packing components, and supplies
- Maintaining supplier list for GMP
- Maintain service register
- Contact service/equipment providers for faulty equipment
Required skills and qualifications:
- High school diploma or equivalent
- Proven administrative experience
- Superb written and communication skills
- Strong attention to detail
- Aptitude for learning new systems
- Experience developing internal processes and filing systems
